This Privacy Policy (this “Policy”) applies to the personal information handling practices of Polar Developments Ltd. (referred to as “us” or “we”). This Policy applies to information collected by us, including through our websites (the “Site”) or our services providing property development and management services for our residential high-rise apartments, hotel suites, single-family homes, and commercial and retail space (“Services”). In this Policy, “personal information” refers to identifiable about an information individual, excluding business contact information.

1. What information do we collect?

We collect personal information from you when you submit personal information to us through our Site or obtain Services from us, for example, if you submit a Rental Application Form to us, or request information from us.

For residential tenancy, we collect your name, email address, mailing address, phone number, employment information, references, or other information reasonably necessary to assess eligibility for tenancy and to provide our Services.

2. Information submitted by you

By submitting personal information to us, you represent and warrant that the information is accurate and up-to-date, and that you have the right to submit it for yourself or anyone else whose information you submit.

For example, if you submit the personal information of family members in the Rental Application Form, then it is your responsibility to ensure you have the consent of those individuals.

3. How do we use your information?

We use the information we collect from you when you apply for tenancy, request Services from us, and to provide Services.

For example, personal information disclosed in Rental Application Forms is used to assess whether we will accept the application and extend an offer of tenancy.

We may use credit card information for the purposes of processing payment for Services, such as hotel suites, or other payments that you authorize. If we enter into a tenancy relationship, we use the personal information for that Service.

We may use email addresses to send marketing or promotional materials to you, and if we do, and you would no longer like to receive those materials from us, you can unsubscribe by emailing us at the email in Section 9.

4. How do we protect your information?

We implement a variety of security measures to maintain the safety of your personal information.

Your personal information is only accessible by a limited number of persons who have special access rights to such systems, and are required to keep the information confidential.

5. Do we disclose the information we collect to outside parties?

We use personal information internally for the purposes listed above, but we do not sell, trade, or otherwise transfer your personal information to outside parties unless we provide you with advance notice, with the exception of the points described below:

• We may share payment information with payment processors for Services we provide to you, in compliance with financial transaction standards;
• We may also disclose your information where we believe it is necessary to comply with applicable law, enforce our site policies, or protect our or others’ rights, property, or safety.

6. Retention of information

We will only retain your personal information for as long as necessary to provide you with Services, as permitted by this Policy, or as required by applicable law.

If accommodation is not available at the time of application, we may retain Rental Application Forms to contact applicants at a later time when suitable accommodation becomes available.

You may request that your personal information be deleted from our systems, subject to any legal or contractual obligations requiring us to retain it.

Where legally permissible, we will take reasonable steps, including technical measures, to delete the personal information held by us.

7. Third party links

We may include third party links on our site. These linked sites have separate and independent privacy policies. We therefore have no responsibility or liability for the content and activities of these linked sites.

8. Changes to our policy

If we decide to change our privacy policy, we will post those changes on this page.

We may also notify you of material changes by email or other means as appropriate. Policy changes will apply only to information collected after the date of the change.
